GENERAL PURPOSE
This position works closely with Department staff to ensure the administrative responsibilities of the Municipal Clerk’s Office are completed.
SUPERVISION RECEIVED
Works under the general supervision of the Municipal Clerk.
SUPERVISION EXERCISED
None.
ESSENTIAL DUTIES AND RESPONSIBLITIES
• Perform routine clerical work in answering telephones, receiving the public, providing customer assistance, cashiering, data processing and filing.
• Scan documents.
• Receive and process incoming, outgoing and certified mail.
• Assist in the completion of New Jersey Open Public Records Act (OPRA) requests.
• Assist in the collection of fees and applications in the Tax Collector offices.
• Assist with Registrar duties and responsibilities.
• Provide backup to related positions.
• Perform other related duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES
• Ability to comprehend complex instructions and procedures.
• Ability to make responsible decisions in accordance with established policies and procedures.
• Ability to perform cashier duties accurately.
• Ability to effectively meet and deal with the public; ability to communicate effectively verbally and in writing.
• Ability to handle stressful situations.
• Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures.
• Must be proficient in MS Office – specifically Word, Excel and Outlook.
• Must possess proven organization skills, be a self-starter with the ability to work independently as well as with others.
• Must possess an excellent telephone demeanor.
• Skill in operation of listed tools and equipment.
• Capacity to assume routine functions and detailed work already in progress.
MINIMUM QUALIFICATIONS
Education:
• Graduation from a high school or GED equivalent with specialized course work in general office practices such as typing, filing and accounting
Experience:
• Two (2) years of increasingly responsible related experience, or
• Any equivalent combination of related education and experience.
TOOLS AND EQUIPMENT USED
Telephone, mainframe computer terminal, personal computer, copy machine, postage machine, fax machine, calculator, cash register, scanner.
